Chapter Elections

SHM Chapters play an important role in SHM’s nationwide organizational structure. Chapter leaders serve the dual role of managing local interests and initiatives, while also representing the constituents to the national society.

Every dues-paying member is eligible to nominate colleagues or self-nominate for a chapter leadership position. Need to check your member status? Login here.

Position terms for ALL chapters begin and end in correspondence with the SHM Annual Conference. All current chapter leadership positions that are open for nominations will have terms beginning at the Chapter Leader’s Summit at HM20 (you are not required to be present).

Secretary

The Secretary attends chapter leadership meetings held via teleconference or in-person and maintains meeting minutes. The Secretary works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals, attends chapter meetings and posts summary updates in the chapter’s HMX community. The role of Secretary is a 2-year, renewable term.

Advisory Board Member

Advisory Board Members will attend a minimum of 75% of chapter meetings and 75% of advisory board calls. Advisory Board Members will participate in the planning of chapter meetings, including (but not limited to) selecting meeting topics, developing content, inviting speakers, selecting venues, inviting exhibitors and aiding the chapter’s Co-Presidents in running the meeting. Advisory Board Members will participate in activities necessary to allow continued operation of the chapter, including (but not limited to) obtaining CME for meetings, participating in chapter district phone calls, formulating annual chapter goals, documenting chapter activities to enhance “health status,” applying for Chapter Development Funds for innovative chapter activities and recruiting future board members. The role of an Advisory Board Member is a 3-year term, renewable up to one additional term.

Vice President

The Vice President has the power of the President in his/her absence and attends chapter leadership meetings held via teleconference or in-person. The Vice President collaborates with the President and assists with the coordination of chapter meeting dates, times and content, assists in publicizing chapter events to local hospitalists with assistance from the national office and works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals. The Vice President also participates on national chapter district calls and supports the President as needed. The role of Vice President is a 2-year, renewable term.

Secretary

The Secretary attends chapter leadership meetings held via teleconference or in-person and maintains minutes, works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals, attends chapter meetings and posts summary updates in the chapter’s HMX community. The role of Secretary is a 2-year, renewable term.

Treasurer

The Treasurer reviews and keeps the chapter leadership aware of finances, interfaces with external organizations regarding financial support for meetings, and performs other duties as prescribed by the Board or by the President. The role of the Treasurer is a 2-year, renewable term.

Vice President

The Vice President has the power of the President in his/her absence and attends chapter leadership meetings held via teleconference or in-person. The Vice President collaborates with the President and assists with the coordination of chapter meeting dates, times and content, assists in publicizing chapter events to local hospitalists with assistance from the national office and works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals. The Vice President also participates on national chapter district calls and supports the President as needed. The Vice President automatically becomes President at the end of the Vice President term, which coincides with the end of the former President’s term. The role of Vice President is a 1-year, non-renewable term.

Treasurer

The Treasurer will review and keep the Board aware of the finances of the chapter and issue a report at each chapter meeting. The Treasurer will also have primary responsibility for relationships with sponsor and exhibitors. The role of the Treasurer is a 2-year, renewable term.

Delaware

President

The President solicits chapter membership viewpoints on chapter goals, processes and formulates them into plans for implementation. The President determines the content of meetings with the goal of appealing to the interests of all members whenever possible. The President interfaces with external resources regarding financial support for meetings, ensures meeting announcements reach members and area hospitalists in a timely manner and works closely with the Director of Membership to satisfy chapter reporting requirements which include tracking changes in area hospital medicine groups, retaining members and recruiting new members and meeting attendees. The President actively posts and participates in discussions on HMX. The role of the President is a 1-year, non-renewable term followed by a 1-year subsequent term as the Immediate Past President.

President-Elect

The President-Elect fulfills the responsibilities of the President when the President is unavailable or incapacitated. The President-Elect assists the President in determining the content and location sites for meetings and in interfacing with external resources regarding financial support. The President-Elect assists the Director of Membership in recruiting, retaining and tracking members, and in identifying residents with interests in hospital medicine to engage in membership. The President-Elect automatically becomes the President at the end of the President-Elect term, which coincides with the end of the former President’s term. The role of the President-Elect is a 1-year, non-renewable term, followed by 2 subsequent 1-year terms as President and then as Immediate Past President.

Secretary/Treasurer

The Secretary/Treasurer assists the Director of Membership in recruiting, retaining and tracking members, submits a meeting report form after each meeting to the National Office and oversees content and updates of the chapter’s HMX community. The Secretary/Treasurer works with the National Office to maintain chapter financial records and interfaces with external resources regarding financial support for meetings. The Secretary/Treasurer also helps determine the location for meeting sites. The role of the Secretary/Treasurer is a 1-year, renewable term.

Director of Membership

The role of the Director of Membership is to maintain a database of members, meeting attendees and hospitalists within the chapter’s geographic boundaries and reviews rosters with the SHM National Office. The Director of Membership identifies new hospitalists and hospital medicine programs within the chapter’s geographic region and submits this information to the SHM National Office. The Director of Membership identifies residents with interest in hospital medicine to engage in the membership, formulates and implements plans to recruit new meeting attendees and manages the sign-in sheet at each meeting. The role of the Director of Membership is a 1-year, renewable term.

President

The President facilitates chapter meetings and events and oversees chapter goal and meeting content development. The President communicates with the membership and takes the lead to grow membership and conduct outreach efforts. The President provides oversight of the Steering Committee’s program development and attends the quarterly chapter district teleconference calls. The role of the President is a 2-year, renewable term.

Vice President

The Vice President fulfills the responsibilities of the President in his/her absence and assists the President with any duties as requested. The Vice President oversees making meeting arrangements with the venues, coordinating with exhibitors for all meetings/events and assisting with expanding the base of available exhibitors. The role of the Vice President is a 2-year, renewable term.

Secretary/Treasurer

The Secretary/Treasurer attends chapter leadership meetings held via teleconference or in-person, maintains minutes and manages and reports on chapter finances. The Secretary/Treasurer works with other leaders to strategize and execute initiatives towards accomplishing chapter’s annual goals. The Secretary/Treasurer also attends chapter meetings, manages the sign-in-sheet, submits the meeting report form in HMX in a timely manner after each meeting, posts meeting summary updates and oversees content on the chapter’s HMX community. The role of Secretary/Treasurer is a 2-year renewable term.

Secretary

The Secretary schedules weekly leadership meetings with Zoom and prepares minutes for each meeting and ensures they are distributed to the chapter membership. Additionally, the Secretary assists in determining the meeting content and curriculum, submits meeting details to SHM National Office for event flyers and promotional emails to be created and posts meeting synopsis in the chapter’s HMX community. Along with the Treasurer, the Secretary fulfills the responsibilities of the President and/or Vice President when he/she is unavailable. The role of the Secretary is a 2-year, renewable term.

Treasurer

The Treasurer will review and keep the board aware of the finances of the chapter, develops relationships and communicates with vendors for chapter meetings and assists other officers in determining the meeting content and curriculum. Along with the Secretary, the Treasurer fulfills the responsibilities of the President and/or Vice President when he/she is unavailable. The role of the Treasurer is a 2-year, renewable term.

President-Elect

The President-Elect has the power of the President in his/her absence and co-chairs chapter meetings. The President-Elect assists the President in determining meting content and locations, announcing meetings and eliciting feedback from chapter members. The President-Elect assists the Membership Director in recruiting, retaining and tracking members. The role of the President-Elect is a 2-year, renewable term.

Secretary

The Secretary assures that minutes are prepared and maintained for all chapter leadership and chapter member meetings, posts meeting synopses on the chapter’s HMX community, assists in determining meeting content and fulfills the responsibilities of the President in his/her absence. The role of the Secretary is a 2-year renewable term.

Treasurer

The Treasurer will review and keep the Board aware of the finances of the chapter and issue a report at each chapter meeting. The Treasurer will also assist the President in securing funding for meetings. The role of the Treasurer is a 2-year, renewable term.

Director of Membership

The Director of Membership maintains a database of members, meeting attendees and hospitalists within the chapter’s geographic boundaries and reviews rosters with the SHM National Office. The Director of Membership identifies new hospitalists and hospital medicine programs within the chapter’s geographic region and submits this information to the SHM National Office. The Director of Membership formulates and implements plans to recruit new members and meeting attendees with the assistance of other officers and reports to the SHM National Office. The Director of Membership also assists other officers to determine meeting content. The role of the Director of Membership is a 2-year, renewable term.

Advisory Board Member

The Advisory Board Member works with other officers to strategize and execute initiatives to accomplish the chapter’s annual goals, ensuring the longevity of the chapter. The Advisory Board Member also coordinates and maintains active communication with other chapter officers and chapter members, attends leadership meetings held via teleconference or in-person and attends organized chapter meetings. The role of Advisory Board Member is a 2-year renewable term.

The President ensures regular meetings are held with the advisory board, chapter meeting topics are of broad interest and chapter meeting timelines are progressing for each chapter event, including announcements and other outreach methods. The President spearheads exhibitor recruitment and networking supports the Secretary/Treasurer to ensure chapter reporting requirements are maintained and supports the Membership Director to maintain a membership roster and conduct outreach. The role of the President is a 2-year, renewable term.

Vice President

The Vice President collaborates with the Membership Director and other officers to determine meeting topics and venue locations to appeal to a diverse audience. The Vice President participates in the development of the Advisory Board and ensures participation of the Advisory Board Members in chapter planning activities. The Vice President collaborates with the President to learn the President’s role to become familiar with the programs of the chapter and its governance and assist the President as needed. The Vice President automatically becomes nominated for the role of the President at the end of the Vice President’s term, which coincides with the end of the former President’s term. The role of Vice President is a 2-year, renewable term.

Secretary/Treasurer

The Secretary/Treasurer reviews chapter finances and strategizes how funds should be utilized with other chapter officers. The Secretary/Treasurer works with the President to recruit and network with exhibitors, oversees the content on the chapter’s HMX community page, keeps minutes of chapter leadership meetings and completes the meeting report form after each chapter meeting. The role of Secretary/Treasurer is a 2-year, renewable term.

Membership Director

The Membership Director collaborates with other officers to determine meeting topics and venue locations to appeal to a diverse audience. The Membership Director should coordinate one event annually that is dedicated to medical student and resident recruitment. The Membership Director manages event announcements with the National Office and other methods of outreach, manages the RSVP and attendance lists as well as evaluations and member feedback. The Membership Director maintains a chapter roster and formulates and implements plans to recruit new members and meeting attendees. The role of the Membership Director is a 2-year, renewable term.

Board Members work with other officers to strategize and execute initiatives to accomplish the chapter’s annual goals to ensure the longevity of the chapter. Board Members also coordinate and maintain active communication with other board members and chapter members, attend leadership meetings held via teleconference or in-person and attend organized chapter meetings. The role of Board Member is a 1-year, renewable term.

Vice President

The role of the Vice President is to assist the President with advancing the objectives set forth by the board at the annual planning meeting. As the Vice President does this, he or she will learn the role of President so that he/she can step into the Presidency for their second year serving. The role of the Vice President is a 1-year, non-renewable term, followed by a 1-year subsequent term as President.

Secretary/Treasurer

The role of the Secretary/Treasurer is to keep minutes of chapter board meetings. In addition, he/she will assist the chapter in recruiting sponsorship for chapter activities. Finally, he/she is the financial point of contact for the national office who maintains our financial account. The role of the Secretary/Treasurer is a 2-year, non-renewable term.

The President attends all chapter leadership meetings and meetings of members, serves as the primary liaison with the SHM National Office and is an ex-officio member of every chapter committee. Vice President

The Vice President has the power of the President in his/her absence and performs other duties as prescribed by the board or by the President. The Vice President serves on the chapter’s Program Committee. The role of the Vice President is a 2-year, renewable term.

Secretary

The Secretary coordinates meeting venues, assures that minutes are prepared and maintained for all chapter board and chapter member meetings, assures that appropriate notice is given for all meetings and performs other duties as prescribed by the board or by the President. The role of the Secretary is a 2-year, renewable term.

Treasurer

The Treasurer reviews and keeps the chapter leadership aware of finances, interfaces with external organizations regarding financial support for meetings, and performs other duties as prescribed by the board or by the President. The role of the Treasurer is a 2-year, renewable term.

Membership Director

The Communications Director ensures all chapter activities are advertised on social media and HMX and performs other duties as prescribed by the board or by the President. The Communications Director is a 2-year, renewable term.

Pacific Northwest

Associate Director

The Associate Directors are members-at-large and represent fields aside from internal medicine. The Associate Directors work most closely with the Director of Membership to recruit new members. Other duties might include, but are not limited to, collaborating with the President to assure the needs of the general membership are met, working with the Director of Finance to secure funding for special projects of interest to the general membership and assisting the Director of Media and Public Relations with market analysis. The role of the Associate Director is a 2-year, renewable term.

Regional Delegate

The Regional Delegates are members-at-large and represent regions outside Seattle respectively. The Regional Delegates work most closely with the Director of Membership to recruit new members. Other duties might include, but are not limited to, collaborating with the President to assure the needs of the general membership are met, working with the Director of Finance to secure funding for special projects of interest to the general membership and assisting the Director of Media and Public Relations with market analysis. The role of the Regional Delegate is a 2-year, renewable term.

The role of the Director of Membership is a 1-year, renewable term.

Vice President

In the absence of the President, the Vice President has the power of the President and co-chairs during chapter meetings. The Vice President assists the President in determining meeting content and locations as well as announcing meetings and eliciting feedback from chapter members. The Vice President assists in recruiting, retaining and tracking members. The role of the Vice President is a 2-year, renewable term.

Secretary

The Secretary assures that minutes are prepared and maintained for all chapter leadership and chapter member meetings, posts meeting synopses on the chapter’s HMX community and assists in determining meeting content. The President-Elect has the power of the President in his/her absence and co-chairs chapter meetings. The President-Elect assists the President in determining meeting content and locations, announcing meetings and eliciting feedback from chapter members. The President-Elect assists in recruiting, retaining and tracking members. The role of the President-Elect is a 2-year, renewable term.

Secretary

The Secretary assures that minutes are prepared and maintained for all chapter leadership and chapter member meetings, posts meeting synopses on the chapter’s HMX community, assists in determining meeting content and fulfills the responsibilities of the President in his/her absence. The role of the Secretary is a 2-year, renewable term.

Board Member

Board Members work with other officers to strategize and execute initiatives to accomplish the chapter’s annual goals to ensure the longevity of the chapter. Board Members also coordinate and maintain active communication with other Board Members and chapter members, attend leadership meetings held via teleconference or in-person and attend organized chapter meetings. The role of Board Member is a 1-year, renewable term.

The Secretary attends chapter leadership meetings held via teleconference or in-person and maintains minutes, works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals, attends chapter meetings and posts summary updates in the chapter’s HMX community. The role of the Secretary is a 2-year, renewable term.

Resident Liaison

The Resident Liaison identifies local residents interested in hospital medicine and engages them in the chapter. The role of the Resident Liaison is a 1-year, renewable term.

Student Liaison

The Student Liaison identifies local students interested in hospital medicine and engages them in the chapter. The role of the Student Liaison is a 1-year, renewable term.

Vice President

The Vice President has the power of the President in his/her absence and attends chapter leadership meetings held via teleconference or in-person. The Vice President collaborates with the President and assists with the coordination of chapter meeting dates, times and content, assists in publicizing chapter events to local hospitalists with assistance from the SHM National Office and works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals. The Vice President also participates on national chapter district calls and supports the President as needed. The Vice President automatically becomes President at the end of the Vice President’s term, which coincides with the end of the former President’s term. The role of Vice President is a 1-year, non-renewable term.

Co-Vice President

The role of the Vice President is a 1-year, renewable term.

Florida Liaison

The Florida Liaison attends chapter leadership meetings held via teleconference or in-person, works with the President to recruit members in his/her respective region and facilitates local access to quarterly meeting content. The role of the Florida Liaison is a 1-year, renewable term.
