Chapter Elections

SHM Chapters play an important role in SHM’s nationwide organizational structure. Chapter leadership serves the dual role of managing local interests and initiatives, while also representing the constituents to the national society.

Every dues-paying member is eligible to nominate colleagues or self-nominate for a chapter leadership position. To view the Chapter Map and/or find the chapter you belong to, click here.

Albany

Review the roles and expectations for current chapter leadership positions below.

President

The President sets goals and develops strategy for the chapter, chairs chapter meetings and arranges meeting venues and exhibitors. The President acts as the chapter’s liaison to the SHM national office by communicating meeting dates, times and content and publicizing chapter events to local hospitalists with assistance from SHM staff. The President also recruits new members for the chapter, attends SHM annual conferences when able and attends quarterly chapter leader conference calls. The President serves a 2-year, renewable term.

Vice President

The Vice President arranges speakers for chapter meetings and coordinates technical arrangements for the speaker, assisting the President with the above duties as needed. The Vice President coordinates chapter meeting dates, times and content and publicizes chapter events to local hospitalists with assistance from the national office. Like the President, the Vice President also recruits new members for the chapter, attends SHM annual conferences when able and attends quarterly chapter leader conference calls. The Vice President serves a 2-year, renewable term.

Atlanta

President

The President calls and leads chapter board meetings, sets yearly goals for the Atlanta Chapter in conjunction with the board and ensures meeting lectures and workshops are of high quality and free from bias. The President ensures a backup lecture is ready, in case of unexpected cancellation of the planned speaker. The President solicits chapter membership viewpoints on chapter goals, processes and initiatives, ensures that region sites are represent and plans with the chapter board for implementation of yearly initiatives. The President ensures that meeting sites are appropriate per SHM guidelines, that venues and wait staff are appropriately paid and supports interface with external parties regarding financial support for meetings, along with Treasurer. The President ensures meeting announcements reach members and area hospitalists in a timely manner, in conjunction with the Secretary. The President works closely with the Membership Director and Secretary to satisfy chapter reporting requirements as well as maintain a membership roster, track changes in area hospital medicine groups, retain current members and recruit new member/meeting attendees. The President actively posts and participates in discussions on SHM’s HMX Chapter Leader Community and the Atlanta Chapter Community, ensures the success of the chapter goals and develops and/or maintains a leadership succession strategy and plan. The role of the President is a 2-year, renewable term. If the President must withdraw from this role before the end of his/her term, then the Vice President will succeed this role until the end of the original 2-year term.

Vice President

The Vice President fulfills the responsibilities of the President when he/she is unavailable or incapacitated. The Vice President actively posts and participates in discussion on SHM’s HMX Chapter Leader Community and the Atlanta Chapter Community, finds venues for meetings, arranges details and meets the needs of the meeting at the chosen venue. The role of the Vice President is a 2-year, renewable term.

Membership Director

The Membership Director maintains a database of members, meeting attendees and hospitalists within the chapter geographical boundaries and regularly contacts SHM to update and review roster lists (minimum of twice per year). The Membership Director identifies new hospitalists and hospital medicine programs within the chapter area and submits this information to SHM’s national office, crafts and implements plans to recruit new meeting attendees and manages and returns the sign-in sheet to the national office following each chapter meeting. The role of Membership Director is a 2-year, renewable term.

Secretary

The Secretary assists the Membership Director in recruiting, retaining and tracking members, helps determine meeting location sites and prepares the meeting report form in HMX after each chapter meeting. The Secretary oversees all content and updates in the Atlanta Chapter HMX community and is primarily responsibility for arranging SHM Atlanta leadership conferences, taking place just before regular meetings and expected twice per year. The role of the Secretary is a 2-year, renewable term.

Treasurer

The Treasurer maintains chapter financial records, works with the SHM national office to manage the chapter account and leads and acts as the point person for securing funding for meetings. The Treasurer also crafts and maintains strategy for how event sponsors will be utilized, ensures sponsors are treated fairly and assists the Vice President with venue and meeting needs at the venue. The role of the Treasurer is a 2-year, renewable term.

Advanced Physician Provider Director

The Advanced Physician Provider Director recruits APPs from the area in partnership with the Membership Director and leads APP events that generally precede the main meeting, in partnership with the board. The role of the APP Director is a 2-year, renewable term.

Outreach Director

The Outreach Director is responsible for engaging areas on the edges or outside of the Atlanta region that might foster collaboration with surrounding communities of hospitalists. The Outreach Director’s goal is to provide SHM support, likely bringing prior arranged lectures and workshops to these areas. The role of Outreach Director is a 2-year, renewable term.

Central Ohio

Secretary

The Secretary attends chapter leadership meetings held via teleconference or in-person, maintains minutes and works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals. The Secretary also attends all chapter meetings and posts summary updates in the chapter’s HMX community. The role of Secretary is a 2-year, renewable term.

Central Texas

Chapter Officer

The Chapter Officer works with other officers to strategize and execute initiatives to accomplish the chapter’s annual goals, ensuring the longevity of the chapter. The Chapter Officer coordinates and maintains active communication with other chapter officers and chapter members, attends officer meetings held via teleconference or in-person and attends organized chapter meetings.

Charlotte Metro Area

Connecticut

The Secretary prepares and maintains minutes for all chapter Board and general chapter meetings, assures that appropriate notice is given for all chapter Board and general chapter meetings and performs other duties as prescribed by the Board or by the President. The role of the Secretary is a 2-year, renewable term.

Greater Philadelphia Area

Advisory Board Member

The Advisory Board Member works with other officers to strategize and execute initiatives to accomplish the chapter’s annual goals, ensuring the longevity of the chapter. The Advisory Board Member also coordinates and maintains active communication with other chapter officers and chapter members, attends leadership meetings held via teleconference or in-person and attends organized chapter meetings. The role of Advisory Board Member is a 2-year, renewable term.

Gulf States

President

The President solicits chapter membership viewpoints on chapter goals, processes and initiatives, formulates and articulates chapter goals and plans for their implementation. The President determines content for meetings with the goal of appealing to the interests of all members whenever possible, interfaces with external parties regarding financial support for meetings and ensures meeting announcements reach members and area hospitalists in a timely manner. The President also works closely with the Director of Membership to satisfy chapter reporting requirements, retains current members, recruits new members/meeting attendees and actively posts and participates in discussions on the HMX Gulf States Chapter Community. The role of the President is a 1-year, renewable term.

Vice President

The Vice President fulfills the responsibilities of the President when he/she is unavailable or incapacitated and assists the Membership Director in recruiting, retaining and tracking members. The Vice President helps determine meeting location sites, prepares the meeting report form after each meeting and assures it is returned to the SHM national office. The Vice President also oversees content and updates on the chapter’s HMX community, maintains chapter financial records, manages the chapter account with the SHM office and assists the President in soliciting funding for meetings. The role of the Vice President is a 1-year, renewable term.

Secretary/Treasurer

The Secretary/Treasurer fulfills the responsibilities of the President when the President and Vice President are unavailable or incapacitated and assists the Membership Director in recruiting, retaining and tracking members. The Secretary/Treasurer helps determine meeting location sites, prepares the meeting report form after each meeting and assures it is returned to the SHM national office. The Secretary/Treasurer also oversees content and updates in the Gulf States HMX Community, maintains chapter financial records, manages the chapter account with the SHM office and assists the President in soliciting funding for meetings. The role of Secretary/Treasurer is a 1-year, renewable term.

Director of Membership

The Director of Membership maintains a database of members, meeting attendees and hospitalists within the chapter geographical boundaries, regularly contacts SHM to update and review roster lists, identifies new hospitalists and hospital medicine programs within the chapter geographic region and submits this information to the SHM national office. The Director of Membership also formulates and implements plans to recruit new meeting attendees, manages the sign in sheet and returns it to the SHM national office following each chapter meeting. The role of the Director of Membership is a 1-year, renewable term.

Hawaii

Indiana

The role of the Vice President is a 2-year, non-renewable term.

Membership Director/Secretary

The Membership Director/Secretary maintains a database of members with the SHM national office, manages event sign-in-sheets for the chapter and sends them to the national office. The Membership Director/Secretary also leads SHM membership recruiting efforts for the chapter. The role of Membership Director/Secretary is a 2-year, renewable term.

Treasurer

The Treasurer maintains chapter financial records, manages the chapter’s account in close collaboration with the SHM national office and assists in soliciting funding for chapter events. The role of the Treasurer is a 2-year, renewable term.

Knoxville

Secretary

The Secretary prepares minutes from each meeting and ensures their distribution to the chapter membership in a timely manner, prepares and submits meeting synopses in the Lake Erie/Northern Ohio Chapter HMX Community and oversees content and updates of the chapter community page on HMX. The Secretary also assists in determining meeting content and curriculum, fulfills the responsibilities of the President when he/she is incapacitated or unavailable and formulates and implements plans to recruit new members and meeting attendees with the assistance of other officers. The role of the Secretary is a 1-year, renewable term.

Treasurer

The Treasurer maintains chapter financial records, reports chapter financial status to the membership at chapter meetings, collects and disburses chapter funds as appropriate and assists the President in soliciting funding for meetings. The Treasurer prepares reports (to government/regulatory bodies and the SHM national office) as necessary and maintains a database of members, meeting attendees, and hospitalists within the chapter geographical boundaries. The Treasurer also formulates and implements plans to recruit new members and meeting attendees with the assistance of other officers and assists other officers in determining meeting content and curriculum. The role of the Treasurer is a 1-year, renewable term.

Maine

The President also coordinates with the advisory board to develop programming and strategy for the coming year. In addition, the President is responsible for identifying potential exhibitors to support local meetings. The President also performs outreach to other hospital medicine groups to increase engagement in chapter activities. The role of the President is a 2-year, non-renewable term.

Vice President

The Vice President is responsible for coordinating with the president and Secretary/Treasurer to define the goals and objectives of the chapter. The Vice President is responsible for securing the chapter meeting location and for organization of venue logistics. In addition, the Vice President is responsible for identifying future chapter leaders and recommending members of the advisory council. Further, the Vice President performs outreach to other hospital medicine groups to increase engagement in chapter activities. The role of the Vice President is a 2-year, non-renewable term.

Secretary/Treasurer

The Secretary/Treasurer is responsible for coordinating with the President and Vice President to define the goals and objectives of the chapter. The Secretary/Treasurer maintains an accurate membership list. In addition, the Secretary/Treasurer is responsible for communication with chapter members regarding upcoming chapter meetings and activities through email and maintenance of the chapter HMX community. The Secretary/Treasurer also helps to identify future chapter leaders and recommends members for the advisory council. The Secretary/Treasurer is a 2-year, non-renewable term.

Memphis

Membership Director

The Membership Director maintains a database of members with the SHM national office, manages and sends event sign-in-sheets for the chapter to the national office and leads SHM membership recruiting efforts for the chapter. The role of Membership Director is a 2-year, renewable term.

Michigan

Vice President

The Vice President has the power of the President in his/her absence and performs duties as the Board Officers may prescribe or as the President may delegate. The Vice President collaborates with the President to learn the role of the President, becomes familiar with the programs of the chapter and its governance and develops and facilitates officer transitions. The Vice President supports the President as needed and plans for the Presidential year. The Vice President automatically becomes President at the end of the Vice President term, which coincides with the end of the former President’s term. The role of the Vice President is a 1-year term as Vice President followed by two subsequent 1-year terms as President and Immediate Past President.

Treasurer

The Treasurer reviews and keeps the Board updated regarding the finances of the chapter, issues a report at each chapter meeting and prepares an anticipated budget annually. The role of the Treasurer is a 1-year, renewable term.

Membership Director

The Membership Director coordinates meeting venues and notices of meetings when necessary, assists the Board with growth of chapter membership and maintains an accurate and updated list of voting and nonvoting members. The role of the Membership Director is a 1-year, renewable term.

Secretary

The Secretary assures that minutes are prepared and maintained for all chapter Board and chapter member meetings, assures that appropriate notice is given for all chapter board and chapter member meetings and performs other duties as prescribed by the Board or by the President. The role of the Secretary is a 1-year, renewable term.

Minnesota

Vice President

The Vice President has the power of the President in his/her absence, attends chapter leadership meetings held via teleconference or in-person, collaborates with the President and assists with the coordination of chapter meeting dates, times and content. The Vice President assists in publicizing chapter events to local hospitalists with assistance from the national office, assists with poster review and vetting resident poster participation at chapter meetings and works with other leaders to strategize and execute initiatives to accomplish the chapter’s annual goals. The Vice President also rotates with other leaders to participate on national chapter district calls, assists and supports the President as needed and has the opportunity to become President at the end of the term as Vice President which coincides with the end of the term of the President. The role of the Vice President is a 2-year, renewable term.

Treasurer

The Treasurer maintains chapter financial records, communicates with the SHM national office to manage the chapter account and leads and acts as point person for securing funding for meetings. The Treasurer crafts and maintains strategy for how event sponsors will be utilized and ensures sponsors are treated fairly. The Treasurer also works with other leaders to accomplish chapter’s goals, meeting plans and other chapter initiatives and rotates with other leaders to participate on national chapter district calls. The role of the Treasurer is a 2-year, renewable term.

The Membership Director also works with other leaders to accomplish the chapter’s goals, meeting plans and other chapter initiatives and rotates with other leaders to participate on national chapter district calls. The role of the Membership Director is a 2-year, renewable term.

Nashville

New Mexico

Membership Director

The Membership Director assists the Governing Council with the growth of chapter membership and performs other duties as prescribed by the Governing Council or by the President. The Membership Director is a 2-year, renewable term.

Vice President

The Vice President has the power of the President in his/her absence and performs other duties as the Board Officers may prescribe or as the President may delegate. The Vice President collaborates with the President to learn the President’s role, becomes familiar with the programs of the chapter and its governance, and develops and facilitates officer transitions. The Vice President assists and supports the President as needed and plans for the Presidential year. The Vice President automatically becomes President if he/she wishes to remain in a chapter leadership role [beginning in March 2021 and thereafter] when the presidential term ends. The Vice President organizes and executes a minimum of one event per year [e.g. a chapter meeting, a poster competition], and is involved in promoting events to local institutions and attending such events.

The President-Elect has the power of the President in his/her absence, attends chapter leadership meetings held via teleconference or in-person, collaborates with the President and assists with duties as needed. The President-Elect automatically becomes President at the end of the President-Elect term, which coincides with the end of the former President’s term. The role of the President-Elect is a 1-year, non-renewable term (immediately followed by a 1-year, non-renewable term as President).

Treasurer

The Treasurer attends chapter leadership meetings held via teleconference or in-person, maintains chapter financial records and stays in contact with the SHM national office to manage the chapter account. The Treasurer leads and acts as the point person for securing funding for meetings, crafts and maintains strategy for how event sponsors will be utilized and ensures sponsors are treated fairly. The Treasurer also works with other leaders to accomplish the chapter’s goals, meeting plans and other chapter initiatives. The role of the Treasurer is a 2-year, renewable term.

The Secretary also works with other leaders to accomplish the chapter’s goals, meeting plans and other chapter initiatives. The role of the Secretary is a 2-year, renewable term.

The Director of Membership Development identifies new hospitalists and hospital medicine programs within the chapter geographic region, tracks changes in area hospital medicine groups, advertises Chapter Challenges and other recruitment programs developed by the national office and manages/develops a contact list for residency programs, medical schools and hospital medicine groups within the chapter geographic boundaries. The Director of Membership also maintains the database of members, meeting attendees and hospitalists within the chapter geographical boundaries, regularly contacts SHM to update and review roster lists and manages the sign-in sheet for each chapter meeting. The Treasurer also ensures deposits are made and bills are paid. All chapter leaders participate in formulating chapter goals and plans, soliciting chapter membership viewpoints whenever possible, determine content of meetings with the goal of appealing to the interests of all members and develop new methods to retain current members and recruit new members/meeting attendees. The role of Treasurer is a 3-year, renewable term.
